Administrative Assistant to SVP of HR
Responsibilities:
? Manage and maintain the SVP's appointment schedule.
? Interfaces with high-level internal/external contacts requiring considerable discretion/initiative.
? Conducts business in a confidential and professional manner.
? Monitors and maintains approvals and budgeting for office supplies and small equipment.
? Responsible for office organization, records maintenance, and coordination of functions with individuals in other departments.
? File and retrieve corporate documents, records, and reports.
? Update and publish company memos.
? Prepare responses to correspondence as needed.
? Develops management presentations.
? Attends executive team meetings; takes and publishes all meeting notes, and tracks action items.
? Schedules all travel, and tracks advances.
? Assists in the planning of company-wide meetings
? Responsible for expense reports.
? Maintains contract and legal agreements database.
? Provides some personal related tasks, errands, and duties to the CEO as needed.
Requirements:
? 7+ years Executive Assistant experience in the HR function required for consideration.
? Degree preferred
? Demonstrated ability to work with senior management and complete assigned tasks with minimal supervision.
? Ability to make some base line decisions independently and in the absence of the CEO that would not result in high end impact.
? Demonstrated exceptional verbal and written communication skills.
? Demonstrated pro-active approach to responsibilities along with the ability to multitask, execute requests on time, and ensure attention to detail and high-quality accuracy.
? Possesses advanced knowledge and experience with Microsoft Office, Windows XP, Excel, Powerpoint, and MS Outlook. Experience using database software.
? Demonstrate ability to perform responsibilities in a professional manner and maintain confidences in working with high-level executives and leadership.
? Excellent analytical and problem resolving skills.
? Able to manage multiple priorities while meeting deadlines
